Review Monitoring Setup

Centralize review tracking, monitoring, and response management across Google, Facebook, Yelp, TripAdvisor, and over 50 other platforms in a single dashboard with AI-powered responses and competitor benchmarking.

Prerequisites

Before setting up review monitoring, make sure you have:

  • Admin access to your GoHighLevel sub-account
  • Direct URLs to your business listings on the review platforms you want to monitor (for example, your Yelp business page URL, TripAdvisor listing URL)
  • Connected Google Business Profile and Facebook Page integrations (if monitoring those platforms)
  • Email address for receiving review notifications

Connect Core Review Platforms

Start by integrating Google and Facebook, the two most impactful platforms for local businesses.

Connect Google Business Profile

  • Navigate to Settings > Integrations
  • Locate Google Business Profile
  • Click Connect
  • Sign in with the Google account that has Owner or Manager access
  • Select your business location
  • Accept all permission prompts
  • Verify the Connected badge appears

Connect Facebook Page

  • Navigate to Settings > Integrations
  • Locate Facebook
  • Click Connect
  • Log in with your Facebook credentials
  • Select the Facebook Page you want to link
  • Accept permission prompts
  • Verify the Connected badge appears

These integrations enable direct response posting, real-time sync, and advanced features like workflow triggers and review balancing.

Integrate Additional Review Platforms

Add other review sources to consolidate all feedback in one dashboard.

Add a Review Platform

  • Navigate to Reputation > Settings
  • Click the Integrations tab
  • Scroll through the list of supported platforms (Yelp, TripAdvisor, Healthgrades, Zillow, HomeAdvisor, etc.)
  • Click the platform you want to add
  • Enter the full URL to your business listing on that platform (for example, https://www.yelp.com/biz/your-business-name-city)
  • Click Integrate

The system will immediately begin pulling in existing reviews from that platform. New reviews will sync automatically on a regular schedule.

Verify Integration Status

  • Remain in Reputation > Settings > Integrations
  • Check that the newly added platform shows a Connected or Active status
  • Navigate to Reputation > Reviews
  • Use the Source filter to verify reviews from the new platform appear in your dashboard

Repeat this process for every review platform where your business has a presence. The more sources you integrate, the more complete your reputation picture becomes.

Configure Review Alerts and Notifications

Set up alerts so your team never misses new reviews.

Enable Email Notifications

  • Navigate to Reputation > Settings
  • Locate the Notifications section
  • Toggle on Email Notifications
  • Enter the email address where review alerts should be sent (you can add multiple addresses separated by commas)
  • Choose notification frequency:
    • Real-time: Receive an email immediately when a new review comes in
    • Daily digest: Get a summary of all new reviews once per day
  • Click Save

Configure In-App Alerts

  • In Reputation > Settings, toggle on In-App Notifications
  • New review counts will appear directly in the Reputation section badge in the left navigation
  • Click the badge to jump directly to unread reviews

Set Up Workflow-Based Alerts

For advanced notification routing based on review sentiment:

  • Navigate to Automation > Workflows
  • Click Create Workflow
  • Add the Review Received trigger
  • Apply filters:
    • Review Source: Select specific platforms or “All”
    • Review Rating: Filter by star rating (for negative reviews, set to 1 or 2 stars for Google; for Facebook, set to “Negative”)
  • Add an action:
    • Send Internal Notification to alert team members immediately
    • Send Email to the account manager with review details
    • Send SMS to the location owner for urgent escalations
    • Add Tag to the contact record (if the reviewer is in your contact database)
  • Save and publish the workflow

This ensures high-priority reviews (especially negative ones) get immediate attention while routine positive feedback flows through the standard dashboard.

Enable Reviews AI

Reviews AI generates personalized response suggestions and can automatically reply to reviews on your behalf.

Enable AI-Suggested Responses

  • Navigate to Reputation > Settings > Reviews AI
  • Toggle on Enable Reviews AI
  • Set your Tone Preferences:
    • Formal, Casual, or Balanced
  • Set your Response Style:
    • Concise or Detailed
  • Click Save

Once enabled, you will see an AI Reply button when viewing any review. Click the button to generate a draft response, edit if needed, and send.

Enable Auto-Pilot Mode (Optional)

For high-volume locations, Auto-Pilot Mode automatically generates and publishes responses without manual approval:

  • In Reputation > Settings > Reviews AI, toggle on Auto-Pilot Mode
  • Configure response rules:
    • Auto-respond to 4 and 5-star reviews: Automatically thank positive reviewers
    • Flag 1, 2, and 3-star reviews for manual review: Negative feedback always deserves personal attention
  • Set a Wait Time before sending each response (for example, 2 to 4 hours) to make replies feel more natural
  • Add a Custom Footer to every automated response (such as your business name or a thank-you note)
  • Choose which platforms to auto-respond on: Google, Facebook, or both
  • Click Save

Auto-Pilot is ideal for businesses that receive dozens of reviews weekly. Always audit auto-responses periodically to ensure quality and accuracy.

Set Up Competitor Analysis

Benchmark your reputation against up to three competitors using real-time review data.

Add Your Business

  • Navigate to Reputation > Competitor Analysis
  • Click + Add Your Business
  • Search for your business by name or address
  • Select your business from the search results
  • Confirm the selection

Add Competitors

  • Click + Add Competitor (you can add up to three)
  • Search for a competitor business by name or address
  • Select the competitor from the search results
  • Repeat for additional competitors
  • Click Save

The dashboard now displays side-by-side comparisons including:

  • Google star ratings for your business and competitors
  • Total review volume for each business
  • Rating trends over time
  • Platform-specific breakdowns (Google, Facebook, TripAdvisor, etc.)

All competitor data refreshes automatically. Check this dashboard monthly to spot market trends and identify opportunities for improvement.

Configure the Reviews Dashboard

Customize your review monitoring workspace for efficient management.

Set Default Filters

  • Navigate to Reputation > Reviews
  • Use the Source filter to select which platforms to display (All, Google only, Facebook only, etc.)
  • Use the Rating filter to isolate specific star ratings (useful for prioritizing negative reviews)
  • Use the Response Status filter to show only reviews that need replies
  • Use the Date Range filter to focus on recent reviews or analyze specific time periods

The dashboard remembers your filter preferences for future sessions.

Enable Desktop Notifications (Optional)

If your browser supports desktop notifications:

  • Click the notification icon in the top-right of the platform
  • Grant permission when prompted
  • You will receive browser pop-ups when new reviews come in, even if the platform is not your active browser tab

Test Your Setup

Verify that review monitoring is working correctly across all integrated platforms.

Verify Review Sync

  • Navigate to Reputation > Reviews
  • Use the Source filter to check each connected platform individually
  • Confirm that existing reviews from each platform are visible
  • Check that review details (star rating, review text, reviewer name, date) display correctly

Test Response Posting

  • Locate a test review (preferably an older one) on Google or Facebook
  • Click on the review to open the detail view
  • Type a test response in the reply field
  • Click Send
  • Verify the response publishes to the source platform (check Google Business Profile or Facebook Page directly)

For platforms other than Google and Facebook, verify that review data is pulled in correctly. You will need to respond directly on those platforms, as the system monitors but does not post replies.

Test AI Response Generation

  • Click on any review
  • Click the AI Reply button
  • Verify that a contextual response is generated based on the review content and star rating
  • Regenerate the response a few times to see variation
  • Edit the generated response and click Send to publish

Test Workflow Triggers

  • Create a test workflow with the Review Received trigger
  • Add a simple action like Send Internal Notification to your email
  • Apply a filter for a specific star rating or platform
  • Trigger a test by leaving a review on a connected platform (or wait for a new real review to come in)
  • Confirm that the workflow fires and the notification is sent

Check Competitor Analysis Dashboard

  • Navigate to Reputation > Competitor Analysis
  • Verify that your business and all added competitors display correctly
  • Check that star ratings, review counts, and trend charts populate with data
  • Confirm that the comparison metrics update regularly
