Snapshots Setup

Package your sub-account configuration into a reusable template that you can deploy across multiple accounts. This guide shows you how to create, share, import, and load snapshots.

Prerequisites

Before you begin, make sure you have:

  • Access to Agency View (snapshots are an agency-level feature)
  • An existing sub-account with configured assets (workflows, funnels, forms, calendars, pipelines, custom fields, etc.)
  • Agency plan or higher (snapshots are not available on Starter plans)
  • Understanding of which assets you want to capture in the snapshot

Open the snapshot management interface.

Switch to Agency View by clicking the agency selector in the top-left corner. In the left sidebar, click Account Snapshots or Settings > Account Snapshots depending on your version.

The Account Snapshots page opens with two tabs: My Snapshots (snapshots you have created) and Imported Snapshots (snapshots shared with you by other agencies or the marketplace).

Click the blue + Create New Snapshot button in the top-right corner to start building your first snapshot.

Name Your Snapshot

Give your snapshot a clear, descriptive name that explains its purpose.

In the Snapshot Name field, enter a name that includes the niche, version number, or purpose. For example, “Dental Practice Full Setup v2” or “Real Estate Lead Gen - Feb 2026.”

Avoid generic names like “My Snapshot” or “Template 1.” As your snapshot library grows, descriptive names make it easier to find and manage your templates.

Select the Source Sub-Account

Choose which sub-account contains the assets you want to capture.

Click the Sub-Account dropdown and select the account that holds your configured workflows, funnels, forms, and other assets.

Do not select a live client account. Instead, create a dedicated template sub-account where you build and maintain clean configurations specifically for snapshotting. This prevents client-specific data from leaking into your templates.

Select Assets to Include

Choose which assets to package into the snapshot.

The asset selection panel opens with categories like Workflows, Funnels, Forms, Custom Fields, Calendars, Pipelines, Email Templates, Tags, and more. Each category shows a count of available items.

Click Select All to include every asset from the sub-account, or expand each category using the + icon to pick individual items.

For your first snapshot, select all assets to capture the complete configuration. Later, you can create lightweight, purpose-specific snapshots by selecting only the assets you need (for example, just workflows and email templates).

If any assets fail to load, click Retry to re-fetch the incomplete categories without restarting the entire process.

Click Proceed to generate the snapshot. The system packages all selected assets into a single reusable template. This process may take a few minutes depending on the size of the snapshot.

Share Your Snapshot

Distribute your snapshot to other agencies or team members.

Go to Account Snapshots in Agency View. Find the snapshot you just created in the list. Click the three-dot menu next to the snapshot name and select Share Snapshot.

Two sharing methods appear:

Share Link Method: Copy the generated share link and send it via email, chat, or any messaging platform. The recipient clicks the link and imports the snapshot into their agency account.

Email Share Method: Enter the recipient’s email address and click Send. The recipient receives an email with a direct import link.

Both methods give the recipient a one-click import experience.

Import a Snapshot

Bring a snapshot shared with you into your agency account.

If someone shared a snapshot link with you, log into HighLevel in your web browser. Open a new browser tab, paste the snapshot share link into the address bar, and press Enter. A confirmation dialog appears. Click Yes! Import Now.

If someone shared a snapshot via email, log into HighLevel in your web browser. Open the snapshot share email and click the Click here link in the email body. A confirmation dialog appears. Click Yes! Import Now.

The snapshot imports into your agency account and appears under Settings > Account Snapshots > Imported Snapshots tab. It is not automatically visible inside any sub-account. You must manually load it into a sub-account.

Load a Snapshot into a Sub-Account

Apply the snapshot configuration to a target sub-account.

From Agency View, click Sub-Accounts in the left menu. Find the target sub-account where you want to load the snapshot. Click the three-dot menu next to the Switch to Sub-account button and select Manage Client.

On the management page, click Actions and select Load Snapshot from the dropdown.

A list of available snapshots appears. Select the snapshot you want to load. Click Proceed.

The asset selection panel opens. Check or uncheck individual assets to control what gets pushed to the sub-account. You do not have to load everything. For example, you might load only workflows and email templates while skipping funnels and forms.

Click Proceed to continue. Review the Conflicts section by clicking the + icon to expand it. Conflicts occur when the destination account already has an asset with the same name. You can choose to skip, overwrite, or rename the conflicting item.

Click Proceed again. Type Confirm in the confirmation box to begin the loading process.

The load process runs in the background. Depending on the size of the snapshot, it may take a few minutes to complete. You will receive a notification when the process finishes.

Review Loaded Assets

Verify the snapshot loaded correctly.

Switch to the target sub-account by clicking Switch to Sub-account from the Sub-Accounts page.

Navigate to Automation > Workflows to review loaded workflows. Note that triggers from snapshots load in Draft mode. This is intentional to prevent them from firing immediately. Review each trigger, verify it matches the destination account’s needs, and then manually publish it.

Navigate to Sites > Funnels to review loaded funnels. Check Marketing > Forms for forms, Contacts > Pipelines for pipelines, and Settings > Custom Fields for custom fields.

Verify that all assets loaded correctly and are ready for use.

Update a Snapshot

Refresh an existing snapshot to reflect changes in your source sub-account.

Navigate to Account Snapshots in Agency View. Find the snapshot you want to update and click the three-dot menu. Select Refresh (or Update, depending on your version).

The asset selection panel opens. Review and select the updated assets you want to include in the new version. Click Proceed to confirm the refresh.

The updated snapshot replaces the previous version. If you want to keep the old version, create a new snapshot with a different name instead of refreshing.

Test Your Setup

Verify your snapshot configuration is correct:

  • Load the snapshot into a test sub-account before deploying it to live client accounts
  • Verify that workflows trigger correctly after publishing
  • Check that funnels render properly and all pages are present
  • Confirm custom fields and tags appear in the destination account
  • Review pipelines and calendars to ensure they match the source configuration
  • Test form submissions to verify they flow correctly into workflows
  • Check email templates for personalization tokens and ensure they render correctly
