Workflow AI

Workflow AI brings artificial intelligence directly into the Workflow Builder. The AI Builder generates complete workflows from text prompts. GPT-powered actions create personalized content mid-workflow. Intent Detection analyzes sentiment and routes contacts based on tone. The AI Assistant answers questions and explains features as you build. Workflow AI eliminates credit consumption and fair-usage daily limits keep the system responsive for all users.

What Workflow AI Does

The AI Workflow Builder generates complete automations from natural language descriptions. Type “Send a welcome email when a contact is created, wait two days, then follow up via SMS if no appointment is booked,” and the system builds a fully configured workflow in seconds. After generation, you can refine conversationally by adding, removing, or replacing actions. Point and Edit lets you select specific nodes and modify just those without affecting the rest of the workflow. Chat mode lets you brainstorm and explore “what if” scenarios before committing changes to the canvas.

GPT actions run mid-workflow to generate personalized content. Choose from GPT 5, GPT 5.1, GPT 5 Mini (default), GPT 5 Nano, GPT 4o, GPT 4 Turbo, or GPT 4o Mini. Write a prompt using dynamic variables like {{contact.first_name}} or {{message.body}}, set temperature (0.2 for focused, 0.8 for creative), and store the response in a custom field. Reference the output in later steps as {{chatgpt.1.response}} to deliver AI-generated messages, update fields, or trigger webhooks.

AI Intent Detection analyzes text and routes workflows based on sentiment. Add the action, set input text to {{message.body}} or a custom field, and the system creates three branches: POSITIVE (send thank-you, trigger review request), NEGATIVE (escalate to support, send empathy response), and NONE (clarify with follow-up question). Intent Detection costs $0.01 per execution.

AI Email Generation lives inside the Send Email action. Click Write with AI, select a tone (Friendly, Professional, Casual, Neutral), describe the email’s purpose, and the system generates a complete subject line and body. Edit as needed or regenerate with an updated prompt. No additional cost.

The Workflow AI Assistant answers questions and explains features as you build. It summarizes workflows, recommends triggers and actions, explains settings, and helps troubleshoot logic. Access it from the bottom-left corner of the canvas. It does not generate actions directly; that is the AI Builder’s role.

Key Configuration Options

GPT Action Setup. Select a model, write a prompt with dynamic variables, set temperature (0.1-1.0), and choose where to store the response. Lower temperatures (0.2-0.4) produce consistent, professional output for customer-facing content. Higher temperatures (0.6-0.8) generate creative, varied responses for internal brainstorming or content drafts.

Intent Detection Branches. The action automatically creates three output paths. Configure separate follow-up actions on each. POSITIVE: send thank-you, add loyalty tag. NEGATIVE: create task, apply “needs attention” tag. NONE: route to manual review, apply nurture sequence.

AI Builder Prompts. Use action verbs (Send, Create, Wait, Update) and include timing, channels, conditions, and content type. Specific prompts produce specific workflows. Vague prompts produce vague results.

Chat Mode Exploration. Before committing changes to the canvas, use Chat mode to explore automation strategies, ask about available triggers, or discuss the best approach for a business goal.

Power Features

Chained AI Actions. Combine multiple AI actions for sophisticated automation. Example: Inbound SMS triggers GPT action to generate personalized response, Intent Detection evaluates sentiment, POSITIVE branch sends GPT response, NEGATIVE branch escalates to support, NONE branch sends clarifying question.

Point and Edit. Select specific actions on the canvas (individually, in groups, or by dragging to select a range) and apply changes to just those nodes. Especially useful for complex workflows with 10+ actions.

Dynamic Variable Support. Use {{contact.first_name}}, {{contact.email}}, {{event.notes}}, {{message.body}}, or any custom field in GPT prompts. The AI generates contextually relevant content based on real contact data.

GPT Output Reuse. Store GPT responses in custom fields to create a searchable record of every AI-generated message tied to the contact. Useful for quality assurance, team training, and troubleshooting.

Pro Tips

  • Set temperature between 0.2-0.4 for customer-facing GPT output to ensure consistent, professional results. Use 0.6-0.8 for creative content drafts that a team member will review.
  • Store GPT responses in custom fields to maintain a searchable audit trail of AI-generated content tied to each contact.
  • Test workflows with real contacts that mirror your audience before activating for your full database. Run end-to-end and verify each step.
  • Split complex workflows at 15+ actions into smaller, connected workflows using Add to Workflow action. This keeps each automation readable and easier to debug.
  • Provide feedback to the AI Assistant using thumbs-up/thumbs-down buttons after each response. This data improves future suggestions.

Common Questions

Do Workflow AI features consume AI credits?

No. The platform eliminated credit consumption for Workflow AI features including SMS generation, email generation, and code creation. A fair-usage daily limit applies to keep the system responsive for all users.

Which GPT model should I choose?

GPT 5 Mini is the default and works well for most use cases. Choose GPT 5 or GPT 5.1 for tasks requiring deeper reasoning or longer outputs. Use GPT 5 Nano for simple, fast responses where cost efficiency is the priority.

Can the AI Builder create workflows with branching logic?

Yes. Describe conditions in your prompt (example: “If the contact has the tag VIP, send a personalized email; otherwise, send a standard welcome message”) and the builder generates the appropriate if/else branches.

How much does AI Intent Detection cost?

Each execution costs $0.01. The charge applies every time a contact passes through the intent detection action in a live workflow.

Can I edit an AI-generated workflow after creation?

Yes. Edit manually on the canvas or use conversational prompts in the AI Builder to make changes. Point and Edit lets you select specific actions and modify just those without affecting the rest of the workflow.
