Setting Up Media Library
The Media Library is your centralized file storage hub for images, videos, documents, audio files, and fonts. Every asset you upload becomes instantly available across the entire platform. This guide walks you through accessing the library, uploading your first files, organizing them with folders, and understanding storage limits.
Prerequisites
Before you begin, make sure you have:
- Access to the sub-account where you want to store and manage media files
- Files ready to upload (images, videos, documents, audio, or fonts)
- A basic understanding of your storage allocation and usage limits
- Knowledge of file size limits for different modules (Social Planner, Funnels, Courses, etc.)
Access the Media Library
The Media Library lives at the sub-account level, so make sure you are logged into the correct sub-account where you want to store your files.
From your sub-account dashboard, locate Media Storage in the left-hand sidebar and click it. The main Media Library interface opens, displaying all uploaded files in either grid or list view. If you have not uploaded any files yet, the interface shows an empty state with upload instructions.
The top navigation bar includes an Upload button, a view switcher (grid or list), and a sort dropdown. The left panel displays your folder structure, which you can collapse or expand using the arrow next to the Folders heading.
You can also access the Media Library from within other modules. When you click an image upload button in the Social Planner, Funnel Builder, Website Builder, or Email Builder, the Media Library opens as a modal window. This lets you insert files directly into your projects without leaving your current workspace.
Create Your Folder Structure
Before uploading files, create a logical folder structure to keep your assets organized as your library grows.
Click the New Folder button in the Media Storage interface. Name your folder descriptively based on how you plan to organize files. Common approaches include organizing by campaign, client, content type, or date. For example:
- “2026 Spring Campaign”
- “Client Logos”
- “Social Media Templates”
- “Product Photos”
- “Blog Post Images”
Click Create to save the folder. It appears in the folder tree on the left side of the screen. To create subfolders, click the three-dot menu next to a folder name and select Create Subfolder. This lets you nest folders for deeper organization, such as “Clients > ABC Company > Logos.”
Plan your folder naming convention before you start uploading. Consistent, descriptive names make it easy for anyone on your team to find files quickly, especially when managing thousands of assets across multiple projects.
Upload Your First Files
The Media Library supports multiple upload methods. Choose the one that fits your workflow.
Drag and Drop Upload
Drag files directly from your computer into the Media Storage interface. No buttons required. This works in the main Media Storage area and when the Media Library opens as a modal inside other modules like the Funnel Builder. You can drag multiple files at once, and the system queues them for upload automatically.
Upload Button
Click the Upload button in the top navigation bar. A file browser opens where you can select files from your local machine. Choose one or multiple files and click Open. The upload progress appears at the bottom of the screen, showing each file as it processes.
Upload to a Specific Folder
To upload files directly into a folder, open the folder by clicking its name in the folder tree. Then use either the drag-and-drop method or the upload button. Files uploaded while a folder is open are stored in that folder automatically.
Understand Supported File Types
The Media Library accepts a wide range of file formats across multiple categories.
Images: PNG, JPEG, GIF, TIFF, WEBP, SVG, ICO, HEIC. These are the most commonly uploaded files and are used across social media, funnels, websites, emails, and courses.
Videos: MP4, MOV, AVI, MPEG, OGV, WMV, WebM, M4V. Videos are used in social posts, funnel pages, website headers, and course lessons.
Audio: MP3, WAV, AIF, MIDI, OGA, WebM Audio, MPEG Audio, M4A. Audio files are useful for podcast uploads, course content, and website background audio.
Documents: PDF, Word (DOC/DOCX), Excel (XLS/XLSX), PowerPoint (PPT/PPTX), Text (RTF/TXT), CSV, ZIP. Documents can be attached to emails, embedded in funnels, or linked from website pages.
Fonts: TrueType (.ttf), OpenType (.otf), WOFF (.woff), WOFF2 (.woff2). Font files are used to customize branding in websites and funnels through Custom CSS.
Other: JSON, CSS, vCard (.vcf), Google Docs, Google Sheets, Google Slides, Apple Numbers.
Know Your File Size Limits
File size limits vary depending on where the file is being used. Uploading to the Media Library directly supports larger files than some individual modules allow.
Media Library direct upload: Images up to 100 MB, videos up to 4 GB, audio up to 100 MB, documents up to 100 MB, fonts up to 100 MB.
Social Planner: Images up to 10 MB, videos up to 1 GB. This is the most restrictive module, so compress images before uploading if you plan to use them in social posts.
Sites and Funnels: Images up to 100 MB, videos up to 4 GB. These limits match the Media Library’s direct upload limits.
Courses: Images up to 50 MB, videos up to 5 GB. Courses support larger videos than most other modules.
Custom Value File Upload: All types up to 50 MB.
Always check the specific limits for the module you are working in to avoid upload failures.
Organize Files After Uploading
Once you have uploaded files, use the Media Library’s organization tools to keep everything easy to find.
Move files to folders: Right-click a file (or click the three-dot menu) and select Move to Folder. Choose an existing destination folder or create a new one during the move process.
Move entire folders: Click the three-dot menu next to a folder name and select Move to Folder. All contents and subfolders move with it.
Rename files: Right-click a file and select Rename. Use descriptive filenames like “spring-promo-hero-banner.png” instead of “IMG_4521.png” to make searching and sorting more effective.
Delete files: Right-click a file and select Delete. Deleted files move to the Trash folder where they remain for 30 days. You can restore them during that window or delete them permanently.
Sort and View Your Files
The Media Library provides flexible ways to browse your files.
Sort by Name: Alphabetical A to Z or Z to A. Useful when you know the filename you are looking for.
Sort by Size: Smallest first or largest first. Useful for identifying large files that consume storage.
Sort by Modified Date: Newest first or oldest first. Useful for finding recently uploaded or updated files.
Grid View: Displays file thumbnails with an orientation badge showing whether each image is Landscape, Portrait, or Square. Grid view is ideal for visual browsing.
List View: Shows files in rows with pixel dimensions (Width x Height) displayed next to each image name. List view is ideal for scanning filenames and technical details.
Toggle between grid and list views using the view switcher in the top navigation bar.
Monitor Storage Usage
Track how much storage your sub-account is consuming and identify which modules use the most space.
Click the three-dot menu in the top-right corner of the Media Storage interface and select Storage. The storage usage modal displays your total storage with a color-coded bar and a per-module breakdown. Modules include Media Library, Conversations, Memberships, Contacts, and Calendar.
Click on any module row to expand it and see usage broken down by file type (Images, Videos, Documents, Audio). Use this information to identify large files or modules consuming disproportionate storage. Clean up unused assets or move large videos to external hosting to free up space.
Test Your Setup
Verify that your Media Library is configured correctly by checking these items:
- You can access Media Storage from the left-hand sidebar in your sub-account
- You have created at least one folder to organize files
- You have successfully uploaded an image file using either drag-and-drop or the upload button
- The uploaded file appears in the correct folder and displays a thumbnail in grid view
- You can toggle between grid and list views without issues
- The storage usage modal shows your current consumption and per-module breakdown
- When you open an image upload dialog in the Social Planner or Funnel Builder, your uploaded file appears in the Media Library modal
If files fail to upload, verify that they meet the file type and size requirements for the module you are working in.
